Privacy Policy

The United Athletics Association (“UAA,” “we,” “us”) is a network of youth basketball clubs across Utah. This policy explains what information we collect through our website and the UAA dashboard and parent portal (together, the “Service”), how we use it, who we share it with, and the choices you have.

Information we collect

  • Parents and guardians: name, email address, phone number and account sign-in details.
  • Players: name, grade, gender, school, photo, program and team placement, evaluations and skill records (including videos of skill attempts submitted for review), and the date a waiver was accepted. A parent or guardian provides this information; we do not knowingly collect it directly from children.
  • Payments: which payments were made, their amounts and status. Card and bank details are entered with, and stored by, our payment processor (Stripe). UAA does not store full card or bank numbers.
  • Coaches and staff: name, contact details, role, schedule and hours, and the payroll and tax information needed to pay them.
  • Communications: text messages and emails we send you, and messages you send us.

Signing in with Google

You can sign in with your Google account. When you do, Google shares your name, email address and profile picture with us so we can identify your account and match it to the players or coaching role we have on file. We do not request access to your Gmail, Drive, Calendar, contacts or any other Google data.

UAA’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Information from Google is used only to sign you in and identify your account. It is not used for advertising and is not sold. You can also sign in with a one-time magic link sent to your email address.

How we use information

  • Register players and run programs, teams, practices and events.
  • Process payments, send receipts, and follow up on failed payments.
  • Send schedules, reminders and program updates by text message and email.
  • Evaluate player development and share results with the player’s family.
  • Provide customer support, keep players safe, and meet legal obligations.
  • Operate, secure and improve the Service.

Who we share it with

We do not sell personal information. We share it only as needed to run the program:

  • Coaches and location staff who work with your player or location.
  • Service providers that process information for us: Supabase (database, sign-in and file storage), Stripe (payments), Quo (text messaging), Vercel (website hosting), Google (sign-in and maps) and Slack (internal communication among coaches and staff).
  • Legal and safety: when required by law, or to protect the safety of players and others.

Children’s information

Our programs serve young athletes, so most player information is about children. It is provided and managed by a parent or guardian, who may review, correct or ask us to delete it at any time. If you believe a child has given us information without a parent’s involvement, contact us and we will remove it.

Photos and video

Photos and video of program activities are used as described in the waiver a parent or guardian accepts at registration. Skill-attempt videos submitted for evaluation are visible to the player’s family and the coaches who evaluate them.

Retention and security

We keep information while a family or coach is active and afterwards for as long as needed for program, financial and legal records. Data is encrypted in transit, access is limited by role, and payment details are handled by Stripe. No system is perfectly secure, but we work to protect the information entrusted to us.

Your choices

  • Text messages: reply STOP to any message to stop receiving texts. Message and data rates may apply.
  • Access, correction and deletion: ask to see, fix or delete the information we hold about you or your player by contacting us below. We may need to keep some records for financial or legal reasons.
  • Google access:you can review or remove UAA’s access to your Google account at any time in your Google account security settings.

Changes to this policy

We may update this policy. We will post the new version here and change the effective date above. If a change is significant, we will also notify families and coaches.
